We are currently seeking an Office Manager for our Lincoln, RI office!

Roles:

The Practice Manager is the face of the practice and manages all aspects of client care (scheduling intakes, responding to inquiries, assisting with problems as they arise), billing, practice management, and the physical office space. The Practice Manager is a point person for clinicians and clients alike and assists the Executive Director in maintaining streamlined and efficient processes.

Responsibilities:

Client Care

● Field and direct incoming calls

● Respond to client phone and email inquiries within 1 business day

● Enter new client information into electronic health record and provide intake documents/client portal access

● Assign clients to appropriate clinicians

Billing

● Verify member benefits/eligibility at intake

● Enter insurance information, including deductibles/copays/coinsurance amount in client record

● Communicate information re: client benefits/eligibility with both client and assigned clinician at intake and as changes occur

● Collect client payments using integrated credit card processing and alert client and assigned clinician if credit card is declined/expired

● Submit insurance claims daily

● Resolve billing issues (denied/rejected claims) in a timely manner

Practice Management

● Manage practice schedule (intakes, cancellations, vacations, coverage, etc.)

● Credential licensed clinical hires/newly licensed clinicians with BCBS and Aetna

● Alert clinicians and Executive Director when clinical licenses, malpractice insurance, and other CAQH documents are nearing expiration date and collect updated information as required

● Provide weekly reports to practice owner demonstrating client conversion rate & intakes scheduled per clinician

Office Management

● Check mailbox daily

● Take out trash daily

● Vacuum daily

● Refill office supplies monthly

Who are you?

You are a detail-oriented, problem-solving, independent worker with strong written and verbal communication skills. You have a background in mental health or medical office support and knowledge of insurance billing. You are professional in your interactions with clients and colleagues and able to handle sensitive information with discretion.

You are able and willing to collect and interpret data, manage various people’s schedules, and respond to clients and colleagues in a timely manner.

You value your ability to communicate well, multitask, and pay attention to details. You are a team player who wants to be involved in staff events and maintain good relationships with your colleagues.
